When you use HamroLink, we collect information you provide directly and information generated automatically through your use of the platform.
Account Information
When you register, we collect your name, email address, password (hashed), and chosen subscription plan (Free, Local Start, Business, or Institution).
Site & Content Data
All content you create on HamroLink — including website pages, product listings, school enrollment data, images, and files — is stored on our servers to deliver your site to visitors. This includes any data submitted through forms on your site (e.g., student enrollment forms, contact forms).
Usage & Technical Data
We automatically collect log data including your IP address, browser type, referring URLs, pages visited, and timestamps. We also collect device information and performance metrics to improve the platform.
Payment Information
Subscription payments are processed through our third-party payment providers. We do not store full credit card numbers. We retain transaction records (plan, amount, date) for billing and compliance purposes.
How We Use Your Information
- To create and manage your HamroLink account and subscription
- To provision, operate, and deliver your websites on hamrolink.com subdomains or custom domains
- To enforce plan limits (pages per site, blog pages, image/file uploads, AI chatbot message limits, product counts, events, reservations, monthly emails)
- To process subscription payments and send billing receipts
- To power AI features such as the AI Chatbot widget and site summary generation
- To send transactional emails (password resets, deployment confirmations, payment receipts)
- To send product updates and marketing communications (you may opt out at any time)
- To analyze platform usage and improve our features
- To detect and prevent fraud, abuse, and security incidents
- To comply with legal obligations
Data Sharing & Disclosure
We do not sell your personal data. We share information only in the following circumstances:
Service Providers
We use trusted third-party vendors to operate the platform, including cloud hosting providers, payment processors, email delivery services, and analytics tools. These providers are contractually bound to protect your data and may only use it to provide services to us.
Public Website Content
Content you publish on your HamroLink site (product listings, school information, pages) is publicly accessible by design. Visitor data submitted through your site's forms is accessible only to you through your dashboard.
Legal Requirements
We may disclose information if required by law, court order, or to protect the rights, property, or safety of HamroLink, our users, or the public.
Business Transfers
In the event of a merger, acquisition, or sale of assets, your data may be transferred. We will notify you via email and a prominent notice on our platform before your data is transferred.
Data Security
We implement industry-standard security measures to protect your data:
- All data in transit is encrypted using TLS/HTTPS
- Passwords are hashed using bcrypt and never stored in plain text
- File uploads are stored in isolated cloud storage buckets (Cloudflare R2)
- Access to production databases is restricted to authorized personnel only
- Regular security audits and dependency vulnerability scans
However, no system is completely secure. We encourage you to use a strong, unique password and to contact us immediately at support@hamrolink.com if you suspect unauthorized access.
Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete data
- Deletion: Request deletion of your account and associated data
- Portability: Request an export of your site content and account data
- Objection: Object to processing for marketing purposes
- Restriction: Request that we restrict processing of your data in certain circumstances

Data Retention
We retain your data for as long as your account is active or as needed to provide services. Specifically:
- Account data is retained until you delete your account
- Site content (pages, images, products) is deleted within 30 days of account deletion
- Billing records are retained for 7 years as required by financial regulations
- Server logs are retained for 90 days for security purposes
- AI chatbot training summaries are deleted when you delete the associated site
